Five Efficiency Tips For Microsoft Outlook
0 komentarAlthough small businesses seem to be gravitating towards web based e-mail, such as Gmail, Hotmail, and Yahoo! Mail, good old Microsoft Outlook still has a faithful following among those who want offline access to their e-mail. This week I have a few tips for exploiting Outlook’s features for working more efficiently.
1. Use Outlook As A Document Repository
You can store documents in any Outlook folder. That’s right! And you don’t have to attach the document to the mail message; you can store it just as you would in a desktop folder. To store a document in Outlook, follow these steps:
1. Drag a document and drop it in the Drafts folder in Outlook.
2. Open the Drafts folder. You will see your document — not as a message but as a document. Drag and drop it in any folder you want.
You may want to create a separate documents folder to store documents. You have to drag your document to the Drafts folder first because if you drag it straight to your destination folder, Outlook may create an e-mail message with the document as an attachment. By dragging and dropping it into the Drafts folder first, you can ensure that a message is not created.
2. Create Messages Quickly Right From Your Desktop
If you send messages to a person frequently, you can speed up the process of creating a new message to him by creating a shortcut on your desktop. Here is how:
1. Right click anywhere on your desktop, select New, and then click Shortcut on the fly out menu. A Create Shortcut dialog box appears.
2. Type mailto: followed by the person’s email address, as in mailto: someone@somewhere.com.
3. Click Next and enter a name for your shortcut.
4. Click Finish. A new shortcut appears on your desktop with the Outlook icon.
5. Whenever you wish to send a message to this person, just double click on the shortcut. Outlook will open (if not already open) and a new message will show up with the e-mail address of the person pre-populated.
3. Downsize Your Mailbox Quickly
Every so often, Outlook informs you that your mailbox is approaching its size-limit and you must either archive your messages or delete them to make space. If you don’t want to archive but want to delete a few messages with huge attachments to make space, here is what you can do:
1. Select a folder in your mailbox and then pull down the View menu from the menu bar at the top.
2. Choose Arrange By and then select Size on the fly out menu.
3. Outlook groups the messages in your folder by size into groups such as Very Large, Large, Medium, and Small.
4. Skim through the largest group and delete whatever you don’t need. Just a few deletes may make a big difference to the size of your mailbox.
5. Don’t forget to empty the Deleted Items folder.
If you have too many folders, you can save time by following the procedure above with the largest folders. You can quickly find out the sizes of all folders by doing the following:
1. Pull down the Go menu from the menu bar and click Folder List. The folder list will appear in the left pane.
2. At the bottom, you will find a link for Folder Sizes. Click it to see a pop-up window showing sizes of all your folders
4. View Your Messages Like Threaded Discussions
It often helps to see a message and all replies to it from all users as a thread. It saves you the trouble of scrolling down the entire mailbox to locate a message. Here is how to do it:
1. Select a folder in your mailbox and then pull down the View menu from the menu bar at the top.
2. Choose Arrange By and then select Conversation on the fly out menu.
3. Messages in the folder are now threaded. A little button with a downward arrow appears to the left of every thread that has two or more messages. The number of messages in each thread appears in the header.
4. Click the button for a thread. You will see all the messages in the thread sorted by date.
5. Color Code Important Messages
You may want to distinguish messages from your most important client from the run of the mill messages you receive. You can color code them to focus on them quickly. Here is how:
1. Select a folder in your mailbox and then pull down the Tools menu from the menu bar at the top.
2. Choose Organize. You will see a pane to Organize Your (Folder Name).
3. In the pane, click Using Colors. The pane’s display will change to reflect your selection.
4. Choose to color code messages from/to a person by selecting options in the dropdown boxes and then choose the color you want them to appear in. Click Apply Color.
Sometimes, people may want to reply only to you and not to everyone on the list. You can quickly identify such messages by clicking the Turn On button against Show messages sent only to me on the next line after selecting the color you want the messages to appear in.

Using Gmail to Filter Spam On Existing Mail Accounts
0 komentarSpam sucks. We all know that. The question is how to stop it. Those of us who use Google’s Gmail have very little spam problem. Google’s spam filtering is VERY good. When I was using Outlook as my mail client, I was using the paid Cloudmark plug-in to defeat spam. It beats the hell out of the built-in spam filtering on ANY mail client. But, since moving to Gmail, my spam problem has been even less than with Cloudmark. And I don’t have to spend a dime for it.
But, what if you don’t want to use a gmail.com email address? Perhaps you are using an address tied to your own domain name or from your ISP. You might not want to switch. Well, I have good news and no, it doesn’t have to do with my car insurance. But, I did save a boatload of money on my spam problem by switching to Gmail. And I didn’t have to change my email address.
Gmail as a Go-Between
Gmail is not a self-contained, web-based mail service. They have opened it up to POP3 access and, most recently, to IMAP as well. But, that’s the download side of things. What if you already have an email account elsewhere? Well, Gmail also has the ability to log into an EXTERNAL mail account and fetch the email, bringing it into Gmail.
So, how can you use this to filter out your spam?
Get a Gmail account if you don’t already have one. Then, set it up to get email from your external, existing mail account. If you don’t know if you’re going to like this yet, you can tell Gmail to leave the email on your server so that you don’t split your email up among two servers. Now, with your email coming into Gmail, you can enable POP3 or IMAP access on the Gmail account and then point your email client to download email from Gmail. So, what you have is the exact same email, coming from the exact same account, but via Gmail.
And what do you know, all your spam is being filtered out by Gmail in the process!
If you use POP3 access, all the email will be removed from Gmail servers and downloaded to your client. If you use IMAP, your mail client will simply mirror what is on the server - a great option if you want fully portable mail that looks the same regardless of what computer you are using.
The Gotcha
If you happen to have several email accounts, this system might not be perfect for you. While Gmail will allow you to bring in email from more than one external account, once it gets to Gmail it is all in one place. That means that Gmail will act as a funnel, sending all your mail accounts through one single mail account. Likely you can just use filters on the client side to split your mail up according to the address it originally came in on, but if you actually send your different email address to different physical email files, that will be hard to pull off.
Otherwise (and for most of you), this is a very workable, free way to fight spam on your existing email address.

Moving Files from Windows to Mac
0 komentarWhen you make the switch from a Windows box to a Mac, you are going to need to copy all of your data files over to the Mac. The quickest way to do that is over a network. Yes, you can use “old school” media such as CDs, DVDs or USB thumb drives, but this is very tedious and will take forever. Networking the Windows and Mac machines is actually not very hard. It is not quite as straightforward as networking two Windows machines together, but if I can manage to do it on my second day using OS X, it can’t be too hard.
Networking Windows and Mac OS X
Windows and Mac come from different ends of the operating system spectrum, but luckily both are easy enough to use that networking them together isn’t brain surgery. Here is how to set it up so as to be able to move files from your Windows machine to the Mac. I am going to assume you know at least some basic networking here.
1. Under Windows, you need to find our your workgroup name if you don’t already know it. So, go to Control Panel -> System -> Computer Name. Your workgroup will be listed. Make note of it as you will need to set the Mac up to use it.
2. Find the folders your data is in that you want to move and enable file sharing on those folders if not already done.
3. Now, on the Mac, go to System Preferences -> Sharing. Enable file sharing on the Mac by checking that option. Next, click Options and be sure “Share Files and folders using SMB” is checked. Select your Mac username from the list by checking that. Hit Done.
4. Next, go to Network under System Preferences. Hit the Advanced button. Go to the “WINS” tab and enter or select your workgroup name. Hit OK.
5. In Finder, select “Connect to Server…”. Enter “smb://[IP ADDRESS]/[SHARE NAME]” and hit Connect. [IP ADDRESS] is the IP address of your Windows machine. [SHARE NAME] is the name you assigned to the shared folder on your Windows machine. If you do not know the IP address of your Windows machine on your network, go to the command prompt and type in “ipconfig”.
6. If all works correctly, the Mac should be able to connect to and display the files in your shared folder inside of Finder. From there, you can copy the files over to your Mac and place them wherever you want.
